Preparing for your initial presentation
Once you have begun generating interest, hold a meeting for everyone who is interested in traveling. Go Ahead will provide day-by-day itineraries and pre-departure information for you to distribute. You can even have your own group coordinator business cards — simply request them from your Group Tour Consultant at least 3-4 weeks before your meeting.
Call your Group Tour Consultant just prior to the meeting to review or finalize the following:
- Tour itinerary and departure date
- Space availability on your chosen tour and/or date
- TravelSafe Protection Plan
- Deadlines for reservations and payments
- Questions or concerns you anticipate from travelers
- Activating your personal group tour website
Conducting the meeting
A key purpose of this meeting is to generate excitement about the idea of going on a tour. As attendees arrive, ask them to sign in with their name, address, phone number and email address so you can easily keep in touch with them after the meeting.
Share your own passion for travel by telling attendees about trips you've taken in the past, and explain why you chose this particular country or region as your destination. Prepare yourself ahead of time by thinking about why travel is important to you, and be ready to explain the many advantages of escorted group tours. In general, it is useful to cover the following:
- Describe the tour you chose, as well as the departure date, and explain why it appealed to you.
- Outline the price and payment deadlines.
- Highlight key points of our Terms and Conditions.
- List all components that the tour price includes.
- Mention available optional excursions.
- Point out the TravelSafe Protection Plan that Go Ahead offers.
- Outline the booking deadlines (which you and your Group Travel Consultant have determined ahead of time).
- Distribute day-by-day itineraries and reservation booklets, on which you have written your name, group coordinator ID number, and organization (e.g., Martin group, Boston College group, etc.).
- Reinforce the importance of traveling with a reputable organization.
Get commitments as soon as possible
Encourage group members to sign up at the meeting. They should fill out a Group Reservation Form (PDF) and enclose a check or supply a credit card number. Alternatively, your group members may enroll online through your personal group tour website or call your Group Tour Consultant directly to make a reservation.
Follow up after your meeting
Once you have held your meeting, it is a good idea to send a note of appreciation to the group members who attended. This is an opportunity to remind those people who have not yet booked that the deadline is approaching!
